What does a day in the life of a podcast booking agency look like? I want to go over with you exactly what my day to day looks like between myself and our company and really what we do as a podcast booking agency. And there’s a couple of mixture, pictures of it. So first and foremost, we have our public relations specialists. So these individuals, the way that it looks for them is there
given anywhere from five to eight clients that they’re going to be managing. And out of these five to eight clients, some of them could be on a two show package per month where we have to book them on two interviews a month. Then we have to book them on four interviews a month on six interviews a month. Maybe they’re on our 50 show package where we’re spreading out across the entire year. Maybe they’re on the 50 show package and they want to book all 50 within the next three months. It’s really going to vary from
client to client, depending on what the client is looking to do. So a big portion of it is we’re researching out new podcasts. We’re sending out pitches to the podcast host. We’re following up with those pitches that we’re sending out. We’re sending out thank you cards to every podcast host that has one of our clients on their show just to say thank you for so much for having a client on.
We’re just so grateful because we know without the podcast hosts without podcasts, we would not be in business. If the host didn’t ever accept our clients on, then our clients wouldn’t get booked on podcasts. They didn’t get booked on podcasts. We wouldn’t get paid as a company. And if we don’t get paid as a company, we wouldn’t be able to survive. So that’s really what the team day to day looks like is just managing the clients, managing the back and forth between the two of them, between the client themselves, between the podcast host, making sure that the
Hosts has everything that they need, making sure the client has everything that they need and really just being that main point of contact in between. So that’s one role that we have at our podcasting company, our podcast booking agency. Then we have another team member. This could be considered your typical sales manager, your sales team member, where she’s the one that’s taking in all the calls, all the consultations and really just talking to folks and

just learning more about their story and learning more about their background. Can podcasting actually help you? Have you been a guest on podcasts before? What do you know about podcasts? Understanding their knowledge level. And once a client does sign on, then she’s really the onboarding manager at that point. So she wears, you know, two different hats of like that sales manager, that onboarding manager role where she
is basically taking some of that signs on. She’s sending out their invoices. She’s getting them set up with our designer. She’s getting them set up on our client portal, basically everything that they need. And she’s like that very first touch point that any client and our company is going to have before she assigns them or moves them on to our public relations specialists who from there on out are going to take those clients and work to get them booked on podcasts. So that’s another rule that we have. So her main job again,
is just handling all the sales aspect of it. Head and link getting clients set up. Then once the clients are set up, they get moved on to our public relations specialist team where they’re going to be handling the client for the duration of their time working with us. Then we have our executive assistant. She’s going to roll up and to me, so she’s the one that’s helping manage the team if they need everything when it comes to the sales manager, like what does she need help with? What is the team that are booking the clients?
I know we having a hard time getting a client booked is a client being unresponsive has the client say rescheduled interview too many times and they’re hurting relationship with a podcast host, whatever it may be. There’s always things that come up. I mean, when you work with 400 clients over seven years, there’s things that just come up with clients where you could have never expected to see sometimes things that come up that you’ve dealt with before. And that’s again, where it’s going to roll up.
and sue that executive assistant she’s going to help out. And then you have myself and my big aspect is just making sure the company is running functionally, making sure the executive assistant is doing her job, making sure our sales manager is doing her job, making sure the public relations specialist teams are doing their job by getting booked on podcasts. And then the overarching aspect of it is when it comes for me, what I enjoy doing is marketing. So it’s either going on people’s podcasts, hosting my own podcast.

It’s creating videos for social media content. have someone that I’m not going to be the one taking that’s the content and creating social media posts and scheduling it. I have someone on my team at this point, but I’m creating the content for that. I’m just overseeing the entire marketing strategy and growth operation as a business because I could spend so much time within the business of pitching guests and beyond shows. But I found that, and I did that for the first two or three years of the business.
But if I wanted to grow and I wanted to scale the business, I had to take myself out of the business and really hire these roles where I could have people that are honestly sometimes better than what I could do at that role. There’s been times where I remember back in the day, I would pitch a podcast. I didn’t hear anything back. I bring someone on. They pitched that person to a podcast and they get the client booked on the show and it’s very amazing to me. So I know that my role, that’s not where I fit into the team. My role is just making sure that the company is running fluid.
making sure that we’re getting onboarding new clients correctly. We’re getting new clients. We’re scaling the company. We’re taking care of our current clients, not just getting a new client and then focusing on the next client. The next sale is making sure we’re taking care of everyone, making sure we’re taking care of the podcast hosts. So yeah, there’s a, there’s a lot that goes into running a podcast booking agency, but I hope that gives you a good overview of what it looks like.
